Parents 1st Essex are looking to recruit an Administrator on a part time to full time contract to cover Maternity leave.

Terms and conditions:

  • Annual salary is £18,500 plus employer’s NI and pension;
  • This position is a maternity cover role, starting with 17.5h per week during the handover period, raising to 37.5h per week afterwards (subject to funding);
  • 28 days holidays plus public holidays.

 

Introduction:

Strengths in Communities, trading as Parents 1st, was founded as a non-profit organisation about 12 years ago. It operates in South Essex but has also two licensed affiliate volunteer programmes and is well known as a brand on a national level. Parents 1st ethos is to achieve social impact by helping babies to have the best possible start in life by offering early intervention for vulnerable parents through dedicated peer support during pregnancy, birth and beyond.

 

Overview of the role:

The main purpose of this role is to provide practical and organisational administrative support and to act as the focal person on the Parents 1st team for communication.

 

Main responsibilities:

  • To act as the first point of contact for enquiries including from members of the public, programme volunteers and stakeholders;
  • To be an active member of the Parents 1st programme team contributing ideas and solutions where appropriate;
  • Assist with the production of newsletters and disseminating them;
  • Update Parents 1st’s social media;
  • Provide comprehensive secretarial and administrative support;
  • Coordinate and manage the administration ensuring mandatory inspections are carried out on time, data protection procedures are adhered to and adequate administrative cover during holidays and sickness (as far as possible);
  • Organise project meetings and assist with project planning, organising events as appropriate;
  • Coordinate activities to ensure that information and reports are available for project deadlines and in preparation of meetings;
  • To act as secretary to team meetings and standardisation meetings, taking notes and writing up minutes as required;
  • To use MS Office software including Power Point to produce high quality professional presentations and documents;
  • To introduce and maintain efficient systems to ensure that documentation and information is effectively managed and filed accurately and sensitively; maintaining confidentiality at all times;
  • Ensure monitoring data is captured correctly and in a timely manner for all of Parents 1st’s activities.

 

Any other duties as and when reasonably required.

 

Essential skills and experience required:

  • Understanding of, and ability to provide, excellent customer care (internally and externally);
  • Excellent written and verbal communication skills;
  • Good organisational skills and ability to work methodically and accurately with attention to detail;
  • Able to communicate appropriately with a diverse range of contacts (such as the CEO, staff and volunteers);
  • Excellent team working skills as well as the ability to work on own initiative with minimum supervision;
  • Able to plan, organise and prioritise work to deadlines and under pressure;
  • Experience of working as an administrator;
  • Excellent IT skills, including a comprehensive knowledge of Microsoft Office programmes (especially Word and Excel);
  • Numerate and literate with experience of producing reports;
  • Ability to relate technical information to a non-technical audience;
  • Knowledge of current data protection requirements.

 

Desirable skills and experience required:

  • Able to demonstrate understanding and commitment to the aims and objectives of Parents 1st;
  • An understanding of the issues that new parents, volunteers and charitable organisations face;
  • Experience of working for a charitable organisation;
  • Experience with Salesforce, data capturing/analysis.
